Overview: Tamazari helped a major PNW utility modernize their fleet spanning more than 1,000 vehicles. Tamazari led a deployment that included an SAP HR integration that automatically synchronized driver information as employees joined, left, or changed roles. That implementation offers a useful blueprint for utilities considering how Samsara and SAP should work together.

1. Start With the Business Process, Not the API

The first question should not be, “What can we connect?”

It should be, “What problem are we trying to remove?”

For one major PNW utility, that problem was driver administration. Employee information was changing in SAP HR, while the telematics environment depended on accurate driver records. Without integration, maintaining both environments created manual work and opportunities for errors.

Before building an interface, utilities should determine which operational workflow will become faster, more reliable or more accurate because the systems are connected.

2. Decide Which Platform Owns the Data

An integration becomes difficult when two systems both believe they are authoritative.

Employee status might originate in SAP HR. Vehicle telematics originates in Samsara. Maintenance information may live somewhere else entirely.

Tamazari’s approach is to define the source of truth before determining how information moves downstream. If HR owns employment status, for example, the telematics system should not require someone to manually recreate that same information whenever an employee changes roles. Clear ownership reduces duplicate records, inconsistent information and unnecessary administration.

3. Give Records a Common Identity

Names are not reliable integration keys. Two employees can have the same name. Names change. Vehicles move between departments. Job titles change constantly. Systems need a persistent way to understand that the driver in Samsara is the same employee represented in SAP.

Samsara supports this through external IDs, which allow organizations to associate drivers, vehicles and other objects with identifiers from external systems. We recommend storing an external system or HCM identifier on the corresponding Samsara driver record and maintaining the Samsara ID externally.

That common identity becomes an important part of keeping large fleets synchronized.

4. Automate Driver Onboarding and Offboarding

Driver management is one of the clearest opportunities for Samsara-SAP integration.

Consider how often utility workforces change. Someone moves from a non-driving role into field operations. Another employee transfers departments.

When those changes require updates in multiple systems, the process depends on someone remembering to make them. That significantly reduces administrative workload while improving record accuracy.

5. Integrate Only the Data That Serves a Purpose

Samsara provides APIs across drivers, vehicles, diagnostics, maintenance, routing and other fleet information. That does not mean every available field needs to move into SAP.

A strong integration architecture begins with the operational outcome.

If maintenance teams need odometer readings, integrate those readings. If HR needs to determine who should exist as an active driver, focus on driver records. If asset managers need utilization information, identify the minimum data required to support that process.

More data does not automatically create more intelligence.

The right information in the right workflow does.

6. Plan for What Happens When the Data Is Wrong

Integrations tend to be designed around the happy path.

Employees, however, change jobs. Vehicle assignments change. Source data contains errors. Records become duplicated. Network interruptions happen.
